The Seven Hills School seeks an enthusiastic Development Coordinator to provide administrative support for a dynamic development program. This position is responsible for maintaining donor databases, gifts processing, and stewardship of gifts; assists in the planning and execution of fundraising and development events; and plays a key role in providing administrative and logistical support to the Development Department. This position requires a self-motivated, team-oriented individual with strong attention to detail and quality, directly reporting to the Director of Development. This is a great opportunity to be exposed to all aspects of development and event planning within a leading independent school.

 

Key Responsibilities

Database Management

  • Input, update, and track all constituent information to ensure the Development database is accurate and current, including biographical updates, notes, and actions
  • Ensure data integrity and maintain integration with school financial and educational databases
  • Produce donor profiles, reports, spreadsheets, graphs, labels, and name tags for Development, parent, and school-wide events

Gifts Processing

  • Manage all gift entry (checks, credit cards, and stock gifts), acknowledgments, and pledge reminders in a timely manner
  • Produce monthly reports for the Development Department and generate lists for fundraising management, events, and constituent relations
  • Perform regular reconciliation with the Business Office and produce audit reports as requested

Special Projects and Events 

  • Support the Family Engagement & Special Events Manager with the annual spring auction including database entry, item write-ups, night-of logistics, marketing, and overall event needs
  • Support all Development events and special activities, including invitations, reservations, nametags, volunteer assistance, equipment, signage, set-up, clean-up, and other event logistics
  • Events include school-wide parent, donor cultivation, grandparent, graduation events, and more

Administrative Support

  • Provide support for the execution of the Annual Fund in coordination with the Director of Development, including mailings, stewardship, communication, and donor reports/listings
  • Provide general administrative support including scheduling, calendar management, budget tracking, volunteer relations, and other special projects as needed
  • Participate with the operations team in collaborative efforts including regular school meetings, supervisorial (yard, lunch, and carline) duties, school-wide events, and special projects as needed

Other Requirements

Qualifications and Skills

  • Bachelor’s degree
  • Work experience in project management, event planning, or other detail-oriented work environment preferred
  • Exceptional attention to detail with strong interpersonal and analytical skills
  • Strong project management skills and the ability to execute independently on tasks
  • Thrives in a fast-paced, high-energy, fun team environment with a proven ability to meet and complete multiple tasks with solid deadlines
  • Experience using database systems, ideally Raiser’s Edge
  • A growth mindset, love of learning, and a warm personality
  • Passion for the role and the school, and an understanding of how the position supports the school’s ability to meet its mission and vision every day
  • Solid organizational, administrative, and computer skills, including proficiency in Microsoft Word, Excel, Gmail, Google Calendar, and Google Drive

Physical Requirement and Work Environment

  • Ability to lift 20 lb. boxes occasionally
  • Valid California driver’s license
  • Ability to work occasional evening or weekend day
  • Transport, set up, and take down chairs and tables during outdoor events, occasionally
