Job Title: Development Associate and Administrative Coordinator

Salary: $75,000 – $95,000, commensurate with experience

School Description 

Presidio Hill School is an independent, progressive school located in the Presidio Heights neighborhood of San Francisco and serves a diverse population of approximately 200 students enrolled in Transitional Kindergarten through 8th grade, with a faculty and staff of approximately 45 people. Established in 1918 by artist-educator-activists Helen Salz and Flora Arnstein, Presidio Hill School is the oldest continuously operating progressive school in California, with a mission and deep history connected to social justice.

Position Description

Presidio Hill School seeks a highly organized, detail-oriented, and adaptable professional to support the Director of Development and other Senior Administrators. The ideal candidate is a relationship-builder with strong interpersonal skills who also brings analytical and problem-solving abilities to the role.

This hands-on position is perfect for someone who enjoys being actively involved in the life of a dynamic school. Responsibilities span a wide range of development, fundraising, event, and administrative activities, making this an exciting opportunity for a flexible, proactive team player who thrives on variety in their daily work.

Key Responsibilities

Special Events

Lead planning and logistical execution of major Development events including Spring Fling, Walk-a-thon, and Grandparents and Special Friends Day as well as smaller Development events including parent socials, alumni events, and other donor events. This includes managing event timelines, volunteer coordination, communications, fundraising components, and all event logistics.
Depending on the strengths and experience of the selected candidate, there may be opportunities to take on expanded event management responsibilities.

Database Management

Serve as the Development Office’s database administrator, ensuring that all constituent records are accurate and up to date.
Manage gift entry, pledge reminders, and acknowledgments in a timely manner.
Perform regular reconciliation with the Business Office and generate reports and lists related to fundraising management, events, and constituent relations.

Alumni Engagement

Support the Director of Development in executing a growing alumni engagement program that fosters lifelong connections between PHS and its alumni.

Development Office Management

Provide logistical support for fundraising and stewardship mailings, including annual solicitations and event invitations.
Keep Development supplies and materials well-organized and stocked.
Support additional Development projects as needed.

Administrative Coordination & Duties

Support the Head of School and Associate Head of School with key administrative tasks including scheduling, calendar management, conference coordination, professional development tracking, hospitality, and special projects.
As a member of the administrative team, perform school duties as assigned i.e. morning yard supervision, lunch and recess coverage, dismissal duty, front desk coverage, etc.
Participate in school-wide events and activities as requested to stay connected with the community.

Requirements

Qualifications
Bachelor’s degree or equivalent work experience.
2+ years of experience in a Development office or other detail-oriented work environment.

Experience
Background in project management, event planning, and/or fundraising.
Prior experience working with children, parents, volunteers, or in an independent school is strongly encouraged.

Skills
Exceptional attention to detail and organizational skills.
Strong interpersonal skills and a collaborative mindset.
Excellent project management skills and ability to execute tasks independently.
Strong analytical and problem-solving skills.
Proficiency using donor database systems, ideally Raiser’s Edge.
Solid administrative skills, including proficiency in Microsoft Word, Excel, Gmail, Google Calendar and Google Drive.
A growth mindset, love of learning, and a warm personality.

This is a full-time, non-exempt position offering competitive salary and benefits.
