Job Title: Campus Coordinator
Status: Full-Time, non-exempt, 12-month
Hours: 7:30 a.m. – 4:00 p.m.,  Monday through Friday (with occasional evening and weekend hours)
Salary Range: $60,000 – $75,000, depending on qualifications and experience
Reports To: Director of Finance and Operations
Start Date: July 1, 2024

School Description 

Presidio Hill School is an independent, progressive school located in the Presidio Heights neighborhood of San Francisco and serves a diverse population of approximately 210 students in transitional kindergarten to 8th grade, with a faculty and staff of approximately 55 people. Established in 1918 by artist-educator-activists Helen Salz and Flora Arnstein, Presidio Hill School is the oldest continuously operating progressive school in California, with a mission and history connected to social justice. Our vibrant, diverse, and supportive community continues to emphasize community and justice and encourages students to develop self-awareness, personal character, resilience, and an understanding of their role as stewards of the planet and citizens of the world.

Position Description

Presidio Hill School is looking for a personable, organized, flexible and detail-oriented professional to provide support to our entire community; the Campus Coordinator position is a unique role for a hands-on person who enjoys being actively involved in many aspects of the daily life of a vibrant progressive school. The ideal candidate will possess an established skill set of support skills, a pleasant and welcoming presence, and will work well with a wide range of constituents: students, teachers, staff, administrators, and visitors to the school. As a member of the extended administrative team, the Campus Coordinator will be integrally involved in ensuring the smooth functioning of our lobby and physical plant and operations. This is a full-time, non-exempt position reporting to the Director of Finance and Operations, and it may require lifting items of up to 20 pounds occasionally.

Key Responsibilities

Front Desk/Lobby Management

  • Keep reception/lobby area clean, organized, and secure
  • Answer main phone line, route calls to appropriate extensions, deliver       important messages to staff members, and return calls as needed
  • Monitor door/intercom and sign visitors in and out
  • Direct visitors (parents/guardians, substitute teachers, prospective employees and families) to events/meetings/classrooms and introduce them to their school contact
  • Supervise early arrival students from 7:45-8:00
  • Manage Choice Lunch program
  • Collect all injury/illness reports and communicate as needed with Head of School and Associate Head
  • Support various school mailings as needed (inquiry packets, annual all-school mailings, etc.)
  • Handle student medications and tend to sick students, notifying parents as needed
  • Shipping and receiving: manage and distribute all incoming and outgoing mail and packages

Facilities Management

  • Help keep lobby, conference room, and staff room stocked and clean, including creating schedule for faculty/staff shared involvement
  • Manage all food and coffee for staff room
  • Coordinate garbage/recycling/compost when school is closed or after events
  • Order food for meetings and events, as needed
  • Help to set up for events, meetings, and assemblies
  • Coordinate curbside with PGA, including Friday Coffee supplies and setup
  • Coordinate signage on curbside and in lobby
  • Maintain contact records and notes on vendors used; purchasing, repairs, and services
  • Coordinate all building upkeep needs with outside contractors (janitorial, plumbing, HVAC, fire department, fire and burglar alarms, elevator, etc.)
  • Manage building needs requests and coordinate repairs
  • Take care of various building needs during the day
  • Ensure that all emergency backpacks and binders and other equipment are up to date

Skills and Qualifications

  • Pleasant and welcoming demeanor
  • Experience in reception, hospitality, facilities management or similar
  • Excellent oral and written communication skills
  • A commitment to confidentiality and accuracy with record-keeping
  • Proficiency in Microsoft Office, particularly Word, Excel and PowerPoint preferred but not required
  • Experience with Google Suite (Gmail, Calendar, Docs, Sheets, Forms) is necessary
  • Experience working with children, parents, and administrators in a school setting preferred
  • Experience with billing processes and database systems (experience with Blackbaud, highly desirable but not required (training will also be available)
  • Experience working with many different constituent groups and flexibility to respond to various situations and school needs
