Title: Receptionist & Advancement Associate
Reports to: Head of School and Director of Enrollment Management & Marketing
Job Status: Full-Time, On-site M-F from 7:45 am to 4:15 pm, twelve month position
FLSA Classification: Non-exempt
Start Date: July 15, 2025.
Pay Range: $33.00 – $38.00 an hour
Job Summary
The Receptionist & Advancement Associate has a two-fold job. First, this person is responsible for overseeing the operations of the school’s front office. That responsibility is roughly 50% of this overall job. Second, for the other half of this position, this person supports the school’s two external-facing offices: Enrollment Management & Marketing and Development, with approximately three-quarters of that 50% devoted to Enrollment Management & Marketing and one-quarter of that time devoted to Development. This role requires exceptional organizational, communication, and multitasking skills.
Key Responsibilities
Receptionist
- Provide a warm, positive welcoming presence as an important face of the school.
- Serve as the primary point of contact for students, parents, staff, and visitors.
- Manage phone calls, emails, and correspondence.
- Maintain student records, attendance logs, and cumulative files.
- Track attendance for faculty, staff, and administration.
- Oversee the school calendar.
- Maintain office supplies and ensure a well-organized front office environment.
- Assist with event coordination and school-wide activities.
- Reconcile administrator credit cards and handle mail and deliveries.
Advancement Associate
- Assist with all admissions programs (e.g, communication with prospective students and families, set-up and break down for events, including admission tours and Open Houses).
- Assist with all development programs and events, including the Welcome Carnival, Grandparents and Special Friends’ Day, the auction (including familiarity with auction software), and other stewardship events.
- Support the Development Office with mailings, solicitation collateral, and other administrative needs.
- Manage social media to deliver mission-driven messages.
- Manage content for the school’s magazine, Footsteps, and other publications. Liaise with outside designers (when necessary) to collaborate, manage, and finalize productions on a specific timeline.
- Coordinate production of the weekly parent e-newsletter, The Dispatch; collect and organize information, produce the newsletter, and schedule delivery.
- Organize and update mailing lists in Finalsite (or other similar platform) regularly.
- Collaborate with division directors on division-level emails.
- Produce school forms (in Blackbaud and other platforms), mailings, and other communications.
- In collaboration with the Director of Auxiliary Programs, promote Summer Camp, After School, and other special programs on campus.
- Liaise with the school’s data manager to ensure constituent information is up-to-date and accurate in relevant databases.
Qualifications and Skills
- Education: BA preferred, AA required
- Experience: Minimum of 3-5 years of related experience.

- Strong problem-solving skills and the ability to think critically and resourcefully
- Ability to work with volunteers and colleagues with professionalism and empathy
- Strong organizational and multitasking abilities.
- Proficiency with Google Suite, Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), and Canva.
- Familiarity with constituent record management software (e.g., Blackbaud) and database programs (e.g., Raiser’s Edge)
- Ability to work independently and as part of a team.
