Responsibilities
Head-Royce School is seeking a Director of Operations who is responsible for the Neighbor Relations, Events Management, Transportation and Safety operations of the school. Reporting to the Chief Financial Operations Officer (CFOO), this position is the primary liaison with our neighbors and manages the logistics of transportation, safety and special events for Head-Royce School. Responsible for overseeing the daily student outside drop-off and pickup process, including the coordination of all related traffic and parking, as well as the traffic and parking related to special events. As Safety Director, works with outside safety consultants and local authorities, and chairs the schools Safety Committee. The Director of Operations has three direct reports – the Operations Manager, the Security Supervisor and Assistant Security Supervisor.
Job Responsibilities/Expectations
Neighbor Relations
Legal Compliance and CUP (update and maintain all compliance issues with City of Oakland)
Primary school contact/neighbor liaison, working collaboratively with the communications office to develop key messaging for the community. Manage calls, emails, complaints from the neighborhood.
Community outreach – Oaktoberfest, neighborhood crime meetings. Manage neighbor meetings and engagement. Be the School representative to neighborhood groups
Manage Neighbor Relations budget in coordination with CFOO
Manage the schools Employee Housing properties (5 residential properties adjacent to the campus)
Member of South Campus Committee
Events
Special Events Logistics/Manage budget in coordination with CFOO and sponsoring departments
Coordinate event management – parking, signage, security
Manage/Coordinate compliance for special events held on campus ie: Open Houses, School Fair, Graduation/Promotions, Back to School Nights, Holiday Programs, Dances etc.
Work closely with the Communications Department to ensure excellent communications with the school community and neighbors
Oversee the schools internal events (Google) calendar
Transportation
Responsible for Pickup and Dropoff
Coordinate drop off and pick up for school year and summer program
Recruit and train traffic monitors
Supervise the schools bus program and manage relationship with Michaels Transportation Services and AC Transit
Maintain database for tracking and follow-up related to transportation infractions
Safety
Serve as School’s Safety Director and chair of Safety Committee
Manage relationship with outside security firms
Contact person for emergency calls from security and fire monitoring companies
Coordinate Campus Safety and Emergency Preparedness
Maintain and update the emergency procedures manual
Maintain and update the emergency evacuation plan
Establish and maintain relationships with local police, fire and related authorities
Manage Safety budget in coordination with CFOO
Qualifications
Minimum of a Bachelors Degree required.
Demonstrated ability to develop and direct multi-faceted, interdependent systems involving a variety of stakeholders, often with competing agendas
Minimum three years experience in independent school or similar environment.
Work within a community that expects collegiality and open communication.
Able to maintain confidentiality.
Develop and maintain effective working relationships with students, parents and staff.
Skills
Prior experience working in a similar capacity within a school environment is strongly preferred
Comfortable working in and with diverse student and adult populations.
Proficient within the Mac and Google Suite environment, using databases, Word, Excel, and Powerpoint,
Excellent public speaking, telephone and writing skills.
Self-motivated, flexible, willing to work beyond traditional office hours, including evening and weekend events.
Previous experience with supervising employees.
Experience with supervising safety in a school environment is preferred.
Experience with organizing events is preferred.
Other Requirements
Must be fully vaccinated (and boosted) against Covid-19 and show proof of negative TB test within the last four years in addition to participation in background screening.
