Upper School Administrative Assistant

Status: Non-exempt

Reports to: Associate Head Grades 9-12


Bentley School, an independent K-12 school in Oakland and Lafayette, California, seeks a full-time Administrative Assistant for the Upper School (Lafayette) campus, who is able and eager to provide a professional welcome to visitors and community members.  In addition, the Administrative  Assistant will be responsible for a variety of tasks in support of the administrative team and the Head of the Upper School. 


Examples of Receptionist Responsibilities:

  • Greet visitors to the school, connecting and communicating with them to answer their inquiries and/or direct them to their intended destination
  • Respond. to telephone inquiries or direct them to the appropriate employee 
  • With the event organizer, take the lead on detailed event preparation

Examples of Administrative Assistant responsibilities:

  • Work harmoniously with and provide assistance to staff, administrators, faculty and prospective families – examples are ordering office supplies, distribute student information, assist with special projects, tracking student attendance, etc.
  • Ensure smooth operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques when replacement is required
  • Coordinate the school’s lunch program 
  • Manage the calendar for the US Head/Assoc. Head of School
  • As needed and appropriate, work as a member of the new academic counseling team and support the admissions and full administrative team as needed. 


Required Skills and Knowledge:

  • Can-do and pleasant attitude toward routine and unexpected daily work
  • Computer literacy/comfortable with: Microsoft Office Suite, Google apps, Whipple Hill, Adobe, Blackbaud, and other software as needed for smooth office function
  • Balance rapidly changing priorities with humor and productive approach to work
  • Team player who is proactive in anticipating and participating in office responsibilities
  • Ability and desire to learn new tasks/skills and pursue professional development to grow in this role
