Purpose Statement
San Domenico School, a K-12 independent school in San Anselmo, is seeking a dynamic
professional for the role of College Counseling Assistant and AP Testing Coordinator. The school’s College Counseling Office is integral to managing and supporting students and families throughout the college application process. The assistant role will not only provide administrative support to our 2 Co-Directors of College Counseling, but also will communicate
regularly with students, families, and faculty at various points throughout the year. As AP Testing Coordinator, this professional will also manage the entire testing process of our robust AP Program. This position is a 10-month academic year position reporting to a Co-Director of College Counseling.
Key Responsibilities of the College Counseling Assistant:
Maintain all aspects of the SCOIR system
Teacher Recommendations: keep records for teacher recommendations per student
Upload recommendation letters to SCOIR
Review official transcripts and review with college counselors and registrar prior to adding to SCOIR
Send transcripts and recommendations to colleges per student submission on SCOIR
Ensure all Early Decision forms are prepared and ready
Maintain college application submission/decision sheet for upper administration
Manage visit invites on SCOIR calendar
Send reminders about their upcoming visit to admission visitors – answer logistic questions.
Remind students about upcoming visits based on college interests and sign ups on SCOIR
Host college visits at San Domenico during the fall semester
Manage SCOIR document uploads throughout the college application process
Ensure all transcripts are complete, accurate, and uploaded in a timely manner
Format/submit regular Spot Check Emails – provided by college counselors
Collaborate with college counselors to reach out to colleges re: missing documents for the application process
Create and maintain a database of relevant scholarship options for students; reach out to local organizations to create connections
Create and maintain a database of relevant summer programs representing an array of options.
Work with Registrar through the Apostille process (required to certify transcripts in other countries)
Assist the Standardized Testing Coordinator with proctoring needs for on-campus testing
Key Responsibilities of AP Testing Coordinator:
In coordination with the Academic Dean:
Manage the AP Classroom portal within the College Board system
Communicate regularly with AP teachers about testing, registrations, and student eligibility to take an AP test
Communicate directly with students about AP testing requirements and expectations
Manage test ordering, room reservations and proctor scheduling, roster accuracy, payment, and packing/shipping of AP exam materials.
Collaborate with the Upper School Learning Specialist to plan for special and accommodated testing needs
Position Qualifications:
Bachelor’s degree
At least 5 years of responsible full-time administrative work experience
Communicate effectively orally and in writing
Demonstrate strategic/proactive thinking and problem-solving skills
Possess excellent organizational skills with strong attention to detail
Experience preparing transcripts and supporting college counseling office
Be driven to learn and seek ways to improve professional skills and implement best practices
Preferred Qualifications:
Facility with SCOIR database and systems
Experience with managing on-site standardized testing
Compensation:
Salary range is $33.08 – $41.34 per hour, depending on experience. We also provide an excellent benefits package including medical/dental/vision/life/matching 403b retirement plan, daily lunch. This is classified as a non-exempt academic year position.
