Admissions Assistant

(Full-Time, year-round staff position 1.0 FTE,

Reports to the Director of Admissions and Enrollment Management)

Purpose statement:

San Domenico School is seeking an Admissions Assistant to join our Admissions Department. This position will provide office management and administrative support for the Director of Admissions and Enrollment Management. The Admissions Assistant is an important ambassador to prospective students and parents who may be considering San Domenico School. Because the Office of Admissions is the portal to the school, this person must understand that all interactions with the public will impact perceptions of San Domenico. The ideal candidate will exercise good judgment, initiative, and autonomy in supporting senior leaders at the school. The admissions assistant must cooperatively and seamlessly work with other offices across campus. All candidates must have a demonstrated background in taking initiative and working in a fast-paced environment.

Key responsibilities:

Support Director of Admissions and Enrollment Management with administrative tasks and with ensuring the smooth operation of the admissions office
Manage phone and email inquiries (shared responsibility with Admissions team)
Assist with retrieval and return of voicemail and email messages related to Lower, Middle, and Upper School Admissions
Management of office tasks including catering orders, office supplies, marketing material mailings, local banner advertisements, and regular use of Ravenna and Filemaker (admissions database systems)
Manage Director of Admissions and Enrollment Management’s calendar
Assist with admissions event planning and scheduling (e.g. Preview Days, Tours, Student Visits, Assessments, and Welcome Days)
Attend selected school fairs, school visits, parent coffees, and other admissions-related events
Attend all Admissions staff meetings, take minutes, and share minutes with the team
Attend some school-level faculty meetings as needed in order to maintain a relationship with faculty and Admissions
Assist with the creation of confidential correspondence, presentations, and reports

Duties include, but are not limited to the following:

Maintain complex Admissions calendar to reduce schedule conflicts and accommodate high priority appointments/school events
Organize and schedule meetings with high attention to detail on conference room bookings, hospitality, necessary AV equipment, communication to participants, meeting materials and agendas
Arrange domestic and international travel plans to include meeting registration, hotel, transportation needs, and ensure Director has appropriate travel itineraries and/or documentation
Track and maintain accounting and financial activities, including coding invoices, preparing expense reports, and initiating check requests
Determine priorities and actions required on projects in a proactive manner and follow through to ensure completion according to pre-established deadlines
Support the school in maintaining a work environment that fosters learning, respect, open communication, collaboration, integration, and teamwork
Other duties as assigned
Some weekend/evening hours

Qualifications:

A minimum of 3-5 years in a support role related to admissions, and/or sales, and/or marketing/communications
BA/BS preferred
Excellent communication and writing skills
Demonstrated time management skills, analytical/problem-solving/abilities, and strategic thinking skills; excellent judgment, professionalism, diplomacy, and discretion
Mac proficient with strong skills in Microsoft Word, Powerpoint, Excel, Google Drive, and Ravenna/Filemaker (or similar database software)
Positive and cheerful demeanor and ability to thrive in a small, collegial, and busy work environment
Dependable, completes assigned tasks and has excellent follow-through abilities
Excellent organizational skills with strong attention to detail
Effective interpersonal and communication skills and proven ability to work well with others in a team environment
Demonstrated flexibility in terms of changing demands and priorities as well as the ability to handle deadlines and pressure with a commitment to high standards
Ability to:
Manage many tasks simultaneously and shift priorities as needed
Perform detailed work independently and accurately with minimal direct supervision
Coordinate effectively amongst a varied group of internal and external team members

Compensation:

Competitive salary commensurate with experience, plus an excellent benefits package including medical/dental/vision/life/403b retirement plan and daily lunch. This position is classified as non-exempt.
