Position Summary: ​Reporting to the Head, the Director of Finance and Operation (DFO) is a key member of the school’s senior administration team. The DFO has overall financial and operational responsibility for Keys School and supervises the Controller, Business Assistant, Facilities Manager, Maintenance Technician, and the Coordinator of Auxiliary Programs. As the DFO, responsibilities include human resource management, and supervision of the stewardship of all tuition, fundraising, and investment dollars in support of Keys School’s mission and students. Additional responsibilities include providing leadership in operational areas, namely facilities, transportation, auxiliary services/programs, legal and regulatory compliance, and related business areas. The Director of Finance and Operations also serves as liaison to Keys School’s partners and works with Head, Board of Trustees, specifically the Finance Committee, Development Committee, and the Facilities Committee to keep them abreast of programmatic strategies and challenges.

Essential Functions:

The DFO oversees the business operations of the school, including the school’s financial sustainability, best use of resources, prudent business and management practices, financial planning, budgeting, purchasing, facilities management, and accounting.

 

What You’ll Do: 

Examples of the DFO’s responsibilities include, but are not limited to:

Finances:

Work closely with the Head and Business Office staff to prepare and manage the operating and capital budgets, including incorporating input from administrators, faculty, and staff;
Ensure that there is sufficient funding available to support all operational areas, including providing regular P&L and cash flow actuals and projection;
Ensure that the School follows all applicable FASB and GAAP accounting standards and complies with all relevant state and federal tax reporting requirements;
Oversee Financial Aid awards and act as the point of contact for tuition assistance and emergency assistance requests. Demonstrate excellent customer service with employees and families.

Human Resources:

Ensure that the employees of Keys School are hired using HR best practices in the independent school world, with appropriate supervision, benefits, and legal compliance in practice;
Mentor, support, retain, and, as necessary, hire knowledgeable and hard-working professional staff members;
Administer personnel policies, including the annual review and revision of the employee handbook;
Develop and implement anti-bias, anti-racist policies and practices by identifying and interrupting racist practices in your own work and spheres of influence.
Oversee processing of semi-monthly payroll and selection and administration of employee benefits program.

Operations:

Supervise the management of the physical plant, including maintenance, renovations, custodial care, and security;
Work closely with the Head to ensure full compliance with any and all municipal regulations, inspections, and planning;
Work with Director of Technology to ensure that technology is up-to-date and economical to maximize efficiency across all departments;
Work with the Coordinator of Auxiliary Programs to develop, articulate, and implement an entrepreneurial approach to creating auxiliary revenue and maximizing the use of campuses.

Leadership:

Provide counsel and support to the Head, Board of Trustees, and faculty and staff on the impact and execution of operational decisions, financial commitments and stewardship, and programs;
Serve on the senior administrative team who oversee all day to day operations and help set strategic goals and planning for the school;
Oversee risk management programs through evaluation of insurance needs and coverages, reviewing insurance proposals, and selecting appropriate carriers.
Attend Board, Finance, Development, and Facilities Committee meetings and presentations as necessary.

What You Need:

Skills, Qualifications, Experience, Personal Qualities:

Bachelor’s or Master’s degree in finance or accounting preferred or demonstrated equivalent experience, CPA desirable;
A minimum of 10 years of experience in senior finance and administrative positions;
Demonstrated success in leading a capable, collaborative, and high-functioning team, including hiring knowledgeable professionals, articulating and evaluating individual and departmental goals, and providing ongoing evaluation, motivation, and feedback;
Excellent verbal and written communication skills;
Demonstrated skills in and knowledge of physical plant management, and the laws and regulations that affect employees;
Prepare and review preparation for all statistical reports for NAIS, CAIS, Cal-ISBOA, and other organizations that may be required from time to time;
Demonstrated success in establishing and maintaining policies, procedures, and controls;
Honesty and personal integrity are overarching values in dealing with others;
Self-directed and well organized, with the flexibility and practicality to respond to changing priorities and unexpected situations;
Proven track record of advising at the highest level and participating in major strategic decisions that have profound long-term implications for an organization;
Experience with Google Platforms, including Google Drive, Google Sheets, Google Docs, and Google Slides preferred;
Availability to work evening and weekend special events
