Park Day School

Position Summary

 The successful Events and Fundraising Manager will plan, resource and execute fundraising and communications events, support on day-to-day fundraising operations, and serve as the primary coordinator for volunteers and assist with content creation.

 

This position will report directly to the Director of Development & Communications. S/he must display sound judgment, impeccable attention to detail, strong project management, data management, and organizational skills, and uphold confidentiality and candor when managing donor information.

 

Essential Functions

 General

  • Manage the communications, events, and targeted volunteer efforts for Park Day School with the current and alumni communities, and help support fundraising operations.

Specific Job Duties

  • EVENTS: Manage Park Day School Event activities, including but not limited to the East Bay Mini Maker Faire, Read-a-thon fundraiser, Fundraising Auction & Gala. Support the Development and Communications Director and Head of School in the production of the New Family Dinner, Campus work parties, Town Hall Meeting, reunion events, and other community celebrations including PRIDE, parent appreciation, teacher appreciation.
    • Fundraising Auction & Gala
      • Manage event logistics including location, catering, decor, rental equipment, furniture and talent.
      • Produce, organize and manage fundraising online auction and live/silent auction.
      • Manage volunteers to (and personally solicit) auction items and ticket sales.
    • Partner with the East Bay Mini Maker Faire Coordinator to provide volunteer support and event logistical support as needed.
  • COMMUNICATIONS: Assess + implement campus-wide communications strategy – working collaboratively with colleagues to streamline and consolidate school-wide communications.
    • Conduct audit of community needs to strengthen and improve school wide communication.
    • Schedule, develop communications content and provide database support.
    • Manage content creation + execution of weekly parent communication “Thursday Notes”.
    • Revitalize + refresh website so that PDS is using it as an effective communication tool with families.
    • Create effective online calendar and/or various etools to create streamlined communication with families.
  • VOLUNTEERS: Oversee the coordination of volunteers for specific fundraising-oriented events + activities.
    • Coordinate events and space for a variety of parent volunteer groups and their meeting requirements.  Attend necessary meetings to support parent volunteers.
    • Manage and support room parent communications, and create an online system for tracking and supporting parent volunteers.
    • Identify volunteers to serve as chairs, committee volunteers and in honorary positions, and coordinate with volunteers regarding fundraising, solicitations and pro bono contributions.

Status and Scope

  • Ability to identify, research and resolve problems and follow through with minimal supervision.
  • Handle sensitive issues with good judgment, tact, and discretion.
  • Perform detailed work and complex calculations with a high degree of accuracy and to identify, research, and resolve problems independently.
  • Have excellent interpersonal skills to interact effectively with a diverse group of staff.
  • Ability to take the initiative to solve complex problems, provide follow through, and analyze information in multiple systems, knowing which system access will provide which data information.

 

Working Environment

The position will work out of the Oakland location. The working hours will be consistent with regular business hours, 8 hours per day, with a starting time between 8:00-9:30am and an ending time between 4:30-6pm. Exact working hours will be determined by the Supervisor and documented. This position may require evenings or weekend hours as needed for events or special projects.  This position will not be allowed to work from a remote location. Qualifications

  • Bachelor’s degree or higher
  • 4 years or more Event Planning experience required plus 2+ years of in a not-for-profit environment.
  • Must have a high level of organizational skills and attention to detail.
  • Must maintain absolute confidentiality / confidential files and keep work area clear and uncluttered at all times.
  • Excellent communication skills a must: listening, verbal and written. Must be able to effectively communicate with staff, students and parents in a clear, concise and pleasant manner at all times.
  • Strong computer skills a must (MS Office; Word, Excel, PowerPoint. Internet, Google Suite) and ability to learn new programs when needed.
  • Experience with Raiser’s Edge or similar relational database desired
  • Ability to solve problems, independently, in an ever-changing environment; high degree of flexibility and adaptability.
  • Must have an open, positive attitude and enjoy working in a highly collaborative, team-oriented environment where a diversity of opinion is valued and encouraged.
  • Adherence to the Park Day Schools strategic goals and core values a must.
  • Must be able to deal effectively, politely, and interact productively with all types of people from all types of backgrounds and experience and in all types of difficult situations.
  • Must have comfort level in a school environment.
