Position Description

The Controller is responsible for the day-to-day accounting operations and fiscal policies & procedures of the school. They ensure that strong internal controls and effective transaction processing routines protect the assets of the school and result in meaningful and timely financial reporting and compliance with GAAP and other external requirements and regulations that may apply.  The Controller assists the CFOO on financial analysis, banking, budgeting, and risk management and works closely with all members of the Business Office staff.

Essential Functions

  • Manages and performs day-to-day accounting operations of the school including accounts payable, cash receipts, management of tuition receivables, general ledger, and other related accounting functions.  Responsible for all journal entries, accruals, reconciliations, and closings of all accounts;
  • Provides accurate and timely management and financial reporting as required;
  • Coordinates with the Development Office to ensure that all gifts and pledges are accurately accounted for (restricted/unrestricted assets, endowment, etc.);
  • Responsible for monthly bank reconciliations and investment accounting;
  • Develops, documents, and maintains appropriate accounting and financial procedures;
  • With the Chief Financial and Operating Officer, prepares government and other filings; ensures compliance with applicable laws, regulations, GAAP, professional standards, and internal policies;
  • Responsible for preparing monthly budget reports for budget managers, including addressing budget manager questions and supporting budgetary adherence.  
  • Monitors the annual operating budget.  Identifies and analyzes variances and develops appropriate solutions and/or recommendations to the CFOO;
  • With the Chief Financial and Operating Officer, develops accounting and management policies and procedures to ensure adequate financial controls, audit trails, and data integrity;
  • Works as primary contact with external audit firm to complete the annual audit and tax return;
  • Develops and maintains professional skills through reading and professional development;
  • Provides backup support for payroll;
  • Performs other duties or additional projects as assigned by the CFOO in order to achieve  financial and operating  goals of the Business Office.
  • Monitors daily cash balances and initiates cash transfers to maintain appropriate balances.

Qualifications and Experience

  • Bachelor’s or Master’s degree in accounting or finance from an accredited school/university;
  • At least 3 years of proven relevant experience in a non-profit setting (independent school experience a plus);
  • Outstanding computer and technical skills, including Excel, Microsoft Word and one major accounting system is required;
  • Excellent written and oral communication skills;
  • Strong interpersonal skills including good judgment, and ability to develop and maintain effective and collaborative working relationships with the Bay School community while maintaining appropriate confidentiality;
  • High level of personal and professional integrity.  Trustworthy, discreet and respectful in the handling of confidential or sensitive information;
  • Demonstrated ability to initiate and complete multiple tasks on time with competing priorities and deadlines.  Solutions oriented, efficient and able to work independently;
  • Outstanding attention to detail required.
