Executive Assistant
The Administrative Assistant works directly with the Head of School. This individual must have strong communication skills; a warm, comforting manner with young children; a courteous and helpful demeanor when working with parents, faculty, administrators and Board Members; as well as the ability to maintain a smooth, efficient, professional tone in the School Office.
Responsibilities
Responsible for communications from the Head’s Office.
Website management and updating using imodules platform
Ability to use and edit Inresonance database solution “Sandbox”.
Process and respond to mail and email on a daily basis.
Maintain and manage calendar of meeting and appointments for Head of School.
Manage student and alumni academic files.
Maintain spreadsheet of expenses.
Work closely with the business office.
Manage school hiring process by editing and posting job descriptions, logging in resumes, setting up interviews and creating employment files.
Support Board President and Secretary.
Support of School Program
Function as key contact person for parents providing directions and information.
Process phone calls and emails.
Train and provide materials for parent volunteers.
Attend administrative and faculty meeting when appropriate.
Work with Admissions staff to create and distribute marketing materials, organize open house and information events, calendar and organize orientation events for new students.
Maintain school calendars.
Support all school events as needed.
Coordinate emergency drills and routine maintenance requests.
Prepare faculty communication “Weekly Memo” and parent communications including “Friday Notes”.
Lead planning for faculty appreciation, holiday parties and professional development days.
The successful candidate will hold a Bachelor’s Degree or higher with 3-5 years experience in administrative assistance work.
