Executive Assistant to the Head of School and Asst. Head of School

Executive Assistant to the Head of School and Assistant Head of School

The Executive Assistant to the Head of School and Assistant Head of School is responsible for the central coordination of school activities and is a liaison with key constituents within and outside of the School community. He/she provides executive support to the Head of School and Assistant Head of School, ensuring effective organization and timely communication between each office and the RDS community. Often working behind the scenes, the Executive Assistant solves problems, mediates disputes, and handles issues before they become matters for the Head of School or Assistant Head of School. The position requires discretion, diplomacy, and the ability to maintain confidentiality.

Essential Job Functions:

Executive Support to Head of School and Assistant Head of School

  • Works in close partnership with the Head of School and Assistant Head of School, understanding priorities and anticipating needs. Organizes and manages the Head of School and Assistant Head of School offices, relieving both of administrative detail.
  • Manages the Head of School and Assistant Head of School’s calendars, prioritizing appointments; acts as a gatekeeper
  • Serves as liaison with administrative leadership team, following-up with department heads/division directors to ensure completion of goals and projects   
  • Coordinates travel for Head of School and Assistant Head of School when requested
  • Reviews and edits communications on a wide variety of matters, including material of a sensitive or confidential nature
  • Meets with Head of School and Assistant Head of School regularly and executes tasks accordingly

Central Coordination of Administrative Procedures and Logistics

  • Maintains understanding of the education programs and operational functions of RDS to implement policies, procedures, and guidelines
  • Develops agenda for weekly leadership team meetings. Coordinates the scheduling and logistical aspects of monthly and special school administrative meetings; facilitates meetings and assists with the preparation of official minutes
  • Point person for administrative job recruitment: posts jobs, coordinates interviews and travel when necessary
  • Posts job descriptions for non-administrative positions to various listserves, websites, etc.
  • Coordinates hospitality and food for various meetings and in-service days

Board of Trustees Support:

  • Provides administrative support to the Board of Trustees
  • Manage content on Board website and maintain Board archives
  • Oversees and coordinates materials, logistics, and support for all meetings, activities, and initiatives for the Board, including coordination of Board and Executive Committee meetings, committee meetings, special sessions, and retreats
  • Attends all Board meetings and record minutes; obtains approval for minutes from Board Secretary
  • Reviews and edits communications on a wide variety of matters, including material of a sensitive or confidential nature

Essential Job Requirements:

  • Attention to detail, ability to multi-task and prioritize
  • Strong writing and editing skills
  • Outstanding communication skills, with the ability to relate to different RDS constituencies (students, faculty, staff, administrators, parents/guardians, Trustees, and broader community)
  • Track record of handling sensitive matters and maintaining confidentiality
  • Ability to work with and support senior administrative leadership team
  • Passion for education, learning, and children
