The CDS Director of Facilities is a member of the school’s administration and reports to the Chief Financial Officer.  The DOF is the department head for the school’s Maintenance Department which is responsible for both the fiscal responsibilities of the Maintenance Department as well as maintaining a clean, safe and well-maintained campus while providing support services towards the advancement of the school’s mission.

 

The position of DOF requires strong interpersonal and communication skills with the ability to work effectively with a wide range of constituencies and a diverse workforce, including parents and students, faculty, staff, administration and board members. The ability to communicate effectively both verbally and in writing is necessary, as well as hiring, training and managing multi-lingual teams. The DOF assumes the leadership role for all matters pertaining to School facilities, traffic and security.

 

A strong knowledge of carpentry, mechanical, electrical, computer controlled HVAC, masonry, housekeeping and grounds/landscaping is expected along with a fundamental knowledge of architecture, engineering and construction management. Additionally, the DOF will have excellent time management skills in short- and long-term planning and be the primary facility liaison with respect to all construction and renovation projects of CDS. This is an exempt position and will require flexibility as dictated by events, weather, and emergency conditions.

 

Responsibilities:

  • Work with school administration to develop and execute fire, earthquake, evacuation and lockdown drills in accordance with school and local requirements; manage emergency provisions inventory and replenish when necessary. Coordinate and oversee campus security.

  • Maintain equipment inventories, compliance activities and maintenance records.

  • Administer, implement, and update a multifaceted operating budget to include utilities, supplies and equipment, and capital replacement. Exercise responsible stewardship of CDS funds and provide the CFO and Board with estimates and cost analysis.

  • Oversee and actively participate in the management and maintenance of the entire school in support of programs and activities.

  • Oversee and actively participate in the careful maintenance and cleaning programs that keep the school's appearance in exemplary condition.

  • Maintain optimal functioning of building systems including mechanical, electrical, plumbing, fire/life safety, and elevators while ensuring compliance with all applicable Federal, State, and local environmental, health and safety regulations including OSHA, EPA, DOT, MSDS, etc.

  • Determine whether major and minor repairs should be completed in-house or by outside contractors. Develop specifications, obtain outside bids, and coordinate outside contractors’ work to ensure compliance with initial scope, contractual agreements and budgets.

  • Keep current on all environmental, health and maintenance standards and actively seek out and participate in professional development that will support keeping current on prevailing laws and regulations.

  • Arrange bids and develop specifications for all outside contractual work of more than $1,000.

  • Oversee event logistics.

  • Create long-term plan for renovations and replacement of buildings and infrastructures; provide input on budget for maintenance, repair and renovation programs, and for department.

 

Requirements:

The successful candidate will:

  • Manage, guide, and evaluate performance of subordinates and indirect reports in Facilities, Maintenance, Landscaping/Gardening, Housekeeping/Janitorial, Events, Traffic and Security.

  • Quality control is a large part of a facilities coordinator’s job. Making sure cleaning, upkeep and safety standards are maintained, or efficiencies are discovered, is key.

  • The facilities coordinator must motivate and effectively manage employees, optimize use of labor, as well as deal with any disciplinary issues that may come up.

  • Education and/or technical knowledge of and experience in negotiating, writing and interpreting contracts, project management of simultaneous multiple projects, and previous supervisory experience including knowledge of state and federal employment laws are required.

  • Excellent leadership, project management, negotiation, budgeting, documentation, and organizational skills.

  • Ability to embrace a collaborative work style and interact in a positive and proactive manner with all school constituencies.

  • Ability to manage numerous projects and tasks, anticipate and meet deadlines, use time effectively, problem-solve independently as well as in a team environment.

  • Ability to effectively act as construction and/or project manager on internal facility projects, as well as major construction and/or renovation projects of the School.

 

Working conditions:

  • Frequently lifting or carrying items up to 50 lbs.

  • Twisting or bending at the waist or reaching overhead.

  • Constant travel between buildings on campus.

  • Listening to and talking with students, faculty, staff, and parents either in person or by telephone.

  • Sitting at desk or workstation using a computer, keyboard, and mouse.

  • Occasional exposure to dust, fumes, poor ventilation, cleaning chemicals, electrical and mechanical hazards as might be present on site.
