Admissions Assistant

The Nueva School, located in the San Francisco Bay Area and founded in 1967, is a nationally recognized independent school serving gifted and talented students, PK-12. The school is a three-time winner of the US Department of Education National Blue Ribbon Award, and winner of the American Institute of Architects Award for School Design and Sustainability, as well as the Presidential Award for Teaching. Most recently, the school was highlighted by the Pulitzer Prize-winning and New York Times best-selling author Thomas Friedman in his 2011 book That Used to Be Us, in the chapter "Average Is Over."
Nueva is a child-centered school emphasizing integrated studies, creative arts, and social-emotional learning. The school offers a constructivist program with project-based learning and special-area teachers in visual art, reading, math, science, music, physical education, technology, and social-emotional learning. Nueva is located in Hillsborough and San Mateo, CA. The thirty-three acre Pk-8 Hillsborough campus, just off of highway 280, includes a design lab, media lab, library, Cafe, organic garden, and extensive wooded areas.  The San Mateo Campus, grades 9-12, will be at the Bay Meadows development. This location, just 11 minutes south of the current Hillsborough campus, is ideally situated near Highways 92 and 101, the Hillsdale Caltrain station, and SamTrans bus routes. The mixed-used development — a dynamic, vibrant, evolving community — provides unique synergies for the new high school as a model of innovative urban planning and sustainable development. Nueva employees commute from San Francisco, communities throughout the peninsula, and the East and North Bay.
The Position:
The Admissions Assistant is responsible for supporting the admissions process and procedures and serves as an administrative support to the Admissions Office. He or she provides appropriate and accurate information to applicant parents, interested educators, and faculty and staff.  Some evening and weekend hours for events are required.
The Admissions Assistant works closely with the entire admissions team and is supervised by the Admission Associate.

 Primary Responsibilities:

  1. Correspond daily with interested parties via phone, e-mail, mail, and fax.
  2. Process in-coming mail.
  3. Monitor admissions fees and payments.
  4. Schedule and confirm admissions activities (tours, testing, playgroups/activity sessions, interviews, and various meetings and events).
  5. Assemble and distribution of admissions materials.
  6. Generate and maintain paperwork associated with admissions events and meetings.
  7. Assist with admissions event planning and execution.
  8. Escort for student and parent visitors.
  9. Assist with student visits
  10. Enter/manage applicant information.
  11. Assist with outreach and recruitment efforts – building internal database.
  12. Update and input admissions information, data, and stats.
  13. Provide student data information to requesting schools, families, and agencies for current and former students.
  14. Track office supply and equipment needs.
  15. Other special duties and projects as assigned.

Required Skills

  1. Three or more years of administrative/office support experience.
  2. Detail oriented with excellent organizational skills.
  3. Extensive knowledge of Microsoft Office Suite
  4. Ability to manage multiple responsibilities simultaneously and prioritize
  5. Excellent oral and written communication skills.
  6. Exceptional people skills and phone etiquette.
  7. Ability to work independently and as part of a team.
  8. Sensitivity, discretion, and a sense of humor.
  9. Knowledge of or experience in admissions and/or independent schools a plus.
  10. Working knowledge of FileMaker Pro a plus.
  11. Bilingual abilities– Spanish/English or Mandarin/English a plus.

Terms & Compensation
Full time for 10-month school year – August to June
Non-Exempt Position
Compensation commensurate with experience
