Admissions Assistant

The San Francisco Friends School, a Quaker K-8 school located in the Mission district of San Francisco, seeks an Admissions Assistant to join its Admissions Office for a seasonal position from August 15 – June 15 each year.

Under the direction of the Director of Admissions, the Admissions Assistant is responsible for supporting the office with tasks including managing the prospective student/family admissions experience, helping with re-enrollment, coordinating logistics for admissions events and applicant visits, and providing general administrative support in the Admissions Office.

The ideal candidate would be detail-oriented, highly organized and a collaborative problem-solver.Minimum requirements include a Bachelor’s degree, excellent organizational, communication and interpersonal skills, prior database experience (In Resonance a plus), basic skill level in Microsoft Office. This is a 10-month full-time, non-exempt position with a competitive salary based on experience and qualifications, a comprehensive benefits package and a supportive school community.

PRIMARY RESPONSIBILITIES:

  • Greet and assist propsective families
  • Interact with the public on a daily basis, in person, by phone and by email
  • Assist in preparation of admissions events – week day tours, evening and Saturday open houses
  • Assist in preparation of admissions materials – inquiry packets, tour packets, decision letters and contracts, admissions newsletters
  • Process and log application paperwork and teacher evaluations
  • Maintain effective filing system
  • Schedule parent interviews, applicant visits and group screenings
  • Manage calendars of the members of the admissions interview team
  • Coordinate teacher schedules and substitute coverage during applicant screenings
  • Prepare materials for admissions screenings and assessments
  • Data entry in the admissions database
  • Input admissions events and calendar interviews and screenings in applicants records
  • Update family information
  • Manage files and electronic records for new and prospective students
  • Process and mail re-enrollment contracts for current families
  • Coordinate with the business office to track enrollment contracts
  • Coordinate with parent volunteers to help with food and other tasks for events
  • Collaborate with faculty, administrators and parent volunteers
  • Assist the Lower School Head with periodic administrative projects
  • Assist when needed with school duties, including phone coverage and reception
  • Perform other duties as assigned

 SKILLS NEEDED:

  • Bachelor’s degree or equivalent required, with two to three years of administrative experience
  • Strong organization and detail-oriented skills
  • Ability to manage numerous tasks and projects simultaneously, prioritize and meet deadlines
  • Excellent interpersonal skills, including patience, discretion, good judgment
  • Excellent customer service skills, both in person and on the telephone
  • Excellent communication skills
  • Ability to work as a collaborative team member
  • High degree of confidentiality and professionalism
  • Familiarity with Microsoft Office Suite (Word and Excel) and Filemaker
  • Some evening/ weekend work required
  • Spanish speaker preferred
