Four halls of learning, one Sacred Heart mission, for 125 years in San Francisco: Schools of the Sacred Heart is an independent, Catholic family of schools committed to academic excellence within the context of a Christian, faith-based community. Our sibling elementary and high schools offer a contemporary approach to single-sex education in a vibrant co-ed community. The schools, Convent & Stuart Hall, are organized into four academic divisions, each led by a Head of School, with a central administration and a shared mission, rooted in the centuries-old tradition of the Society of the Sacred Heart.
Convent Elementary School (K-8th) seeks an Administrative Assistant to provide assistance and support to the school's administrative team. Administrative assistants typically are the hub of the school office. They know where things are, how to get things done and who can help with particular tasks and projects. They disseminate information to parents, staff and students, process fiscal information, schedule meetings, and maintain records and our school calendar.
Administrative assistants are often the go-to person for many tasks and are relied on heavily by others. As a result, they must be adept at dealing with and accommodating a variety of people and personality types — parents, children, faculty members, vendors, and the administrative team.
Job responsibilities would include (but not limited to) the following:
•Generate report cards and other mailings to parents
•Assist with special projects (e.g. Back-to-School nights)
•Assist in processing applications to other schools (transfers, high school)
•Track daily student and faculty attendance
•Public Health Department liaison
•Maintain school website
•Help maintain Head of School's calendar
•Arrange buses for class field trips
•Liaison to Faculty Affairs Committee
•Coordinate substitute teachers, ensure paperwork is complete, payroll
•Assist Deans with the organization and preparation of assemblies and presentations (e.g. prize days)
•Assist with the organization and preparation of Grade 8 Commencement
•Schedule/coordinate Parent Teacher Conference schedules
2-3 years Administrative Assistant experience, preferably in a school setting
Excellent writing, communication and grammar skills.
Must be highly proficient in various technology applications and tools
Must be detail-oriented, organized and willing to take initiative.
Must have excellent teamwork skills.
